Creating and Sending Invoices in Quicken Business & Personal

Need to bill clients and keep track of payments? Quicken Simplifi helps you stay organized by letting you create invoices, record payments, and monitor outstanding balances—all in one place. In this guide, we’ll walk through how to set up invoices, apply payments, and review your accounts receivable so you can keep your business finances on track.


Before You Begin

In most cases, invoicing is the final step in the billing process after you've provided products or services to a client and tracked any related billable items, expenses, or project work. Before you start creating invoices, it's helpful to make sure all those details are set up.

If you already created your business, branding, clients, projects, and billable charges, you'll have everything in place to create and send invoices confidently.


Create an Invoice

As soon as you have billable items, you can start creating your invoices.

  1. Hover over the left panel, click Sales & Billing, and select Invoices.

  2. Click the + Create button.

  3. Select Create invoice.

  4. Use the Business drop-down, and select the business for which you’re creating this invoice.

  5. Use the Client & Project drop-down, and select the client and project for which you’re creating this invoice.

Note: Quicken Simplifi automatically sets the issue date to today and assigns an invoice number, but you can change either one at any time.

Add Items and Save an Invoice

Once you have chosen the business, client, project, issue date, due date, and invoice number, you can now start adding items like products, services, and billable expenses to an invoice.

  1. Click the + Add Item button.

  2. Use the new entry drop-down menu and select the product or service you want to add.

    • Mark taxable items by checking Taxable (only one tax rate applies per invoice).

  3. To include billable expense attachments—like a receipt— in your invoice, turn on the Include all expense attachments toggle.

  4. If you are applying a discount, choose from percentage (%) or fixed amount ($).

  5. Click Save when done.

Important: Saved invoices will be grouped under Drafts.

Note: You can delete any of the items listed by clicking the trash can icon at the end of the row.

Send an Invoice Via Email

After you create and save your invoice, you can email it to multiple people. Just separate each email address with a comma.

  1. Hover over the left panel and click Sales & Billing, and select Invoices.

  2. Click on the DRAFTS tab at the top.

  3. Locate the invoice you want to send, then click the three-dot menu on its far right.

  4. Click Send and then Send via email.

  5. Enter or confirm the details.

    1. Email Address.

    2. Subject.

    3. Email Message.

  6. Click Send when done.

    • If you are sending the invoice another way, select Mark as Sent (No Email).

To Resend Invoices

Invoices marked as Sent will be grouped under UNPAID or PAID. To resend them, follow these instructions:

  1. Select the correct group tab (UNPAID/PAID).

  2. Locate the invoice you want to resend and click it.

  3. Click the blue Send to… button.

  4. Enter or confirm the details.

  5. Click Send when done.

Frequently Asked Questions

How do invoices show up on my reports?

If you want to see how your invoices impact your business finances, use the Profit & Loss Report (P&L).

  • Invoice items (products and services sold) count toward your income.

  • Billable expenses are reported in two places: the expense itself appears under expenses, while any reimbursement for that expense is reported as income.

How are invoice taxes recorded in Quicken?

If you collect sales tax for a product and add that to your invoice, a Sales Tax Payable account will be created under the Liabilities section of your accounts list. Every time you charge sales tax, the Sales Tax Payable account will increase. When you pay your taxes and make the payment to the tax authority, you will want to assign the payment as a transfer to the Sales Tax Payable account.

Sales tax will not show on your Profit & Loss (P&L) report. Instead, you will see it in your Balance Sheet report.

Can I create message templates when sending invoices via email?

Currently, we don’t offer an option to create templates. However, we have a product idea requesting email message templates for invoices; you can vote there to help prioritize it.
